Restaurant chain takes a bite out of
asset records management with a workflow solution.
ADS consulted with records managers from an international restaurant
chain’s corporate office to address the inefficiency of dealing
with paperwork that was growing out of control and clogging the business
process in virtually every department.
It was determined that ADS would design, implement and support a "proof
of concept" workflow-based imaging solution to improve efficiency.
The imaging solution was first implemented in the Property Accounting
department to identify, track and manage documents associated with
200,000 assets located in hundreds of restaurants.
Efficiently managing the information with technology rather than additional
people enabled the corporation to see an immediate return on their
investment and leveraged their initial investment into a successful
enterprise-wide solution.
The project was subsequently expanded to multiple other departments
including Legal, Accounts Payable, Corporate Accounting, Design and
Construction, Dispute Resolution, Human Resources, Payroll and IT
with nearly 400 users taking advantage of the Content Management system
containing over 5,000,000 imaged and electronic documents. For example:
Corporate Law Department:
- Capture, store, manage and retrieve property lease information
for restaurants in almost every state, Canada and the Caribbean.
- Import images of 1,200,000 historical paper documents from
banker boxes allowing immediate access through secure user logins.
Accounts Payable Department:
- Capture, store, manage and retrieve millions of images of invoices,
purchase orders, delivery tickets, tax information (both property
and employee) and related documents.
- Vendor inquiries are now handled during the initial phone call.
Since the ADS design was done with scalability as a primary goal,
our customer is able to extend valuable business process efficiency
into additional departments, thus allowing them to further leverage
their initial investment into a successful corporate enterprise-wide
solution.
