Case Study 3
Government agency maintains records privacy
with scalable, web-based solution.
A government agency implemented ADS’ content management solution
to manage an overwhelming number of correctional inmate records—an
influx of as many as 120,000 images a day plus daily outside scanning
and indexing.
Enterprise Report Management (ERM) software automatically files inmate
Photo ID’s and Admission Summary Reports. Currently, approximately
2,000 users have access to the system.
Our solution enables the agency to continue expansion to additional
users and departments without requiring extra customization or programming.
A web infrastructure allows public access to selective inmate documentation
with little administration required. With its client-centered approach,
the agency not only has instant access to inmate records, but also
maintains the integrity of the data itself.
ADS assisted the agency in selecting a system to meet the following
criteria:
- Scalability
- Web infrastructure
- Ease of use/training
- Flexible customization
- Client-centered approach
The agency realized a return on investment in less than six months
with the system set up to capture, store and retrieve all inmate records—totaling
approximately 25 million records with over 200,000,000 documents.
With ADS’ robust web-based application, multiple internal and
external users can access records immediately and simultaneously.
The new efficiencies allowed 20+ employees to move to more beneficial
work within the department.
Criminal justice and law enforcement agencies give top priority to
public safety issues. With the ADS implemented Content Management
system, the agency is now able to retain critical case management
documents for an indefinite period of time. They can retrieve, review
and email photos or documents anywhere in the world.
